Minimum Requirements:

  • Qualification Type: Bachelor`s Degrees and/or Advanced Diplomas
  • Academic Field: Business, Commerce and management Studies
  • Academic Sub-Field: Office Administration
  • 6 Years’ experience, of which 4 must be in Office Administration

Job Purpose:

  • To execute specialised administration, secretarial, office support and co-ordination of functions for the Chief Financial Officer. This requires understanding of enterprise processes & procedures in such a way that operational effectiveness and performance are enhanced.

Outputs and Accountabilities:

Process

  • Ensure correspondence and information received from external and internal sources is verified and receive the necessary attention.
  • Ensure that all information is treated in a confidential manner.
  • Ensure that completed work adhere to relevant policies, procedures, governance and legislative requirements and report on deviations & discrepancies.
  • Keep up to date records of completed work.
  • Ensure quality of work content, minimise mistakes and continuously improve quality and standards.
  • Deliver operating results within predefined quality, volume and time standards.
  • Constantly align own work method to changes in work requirements, procedures, policies, processes, and delivery systems to meet contracted targets.
  • Develop and maintain productive working relationships with peers and SARS role players to achieve predefined objectives.
  • Execute administrative tasks to support the CFO on a day to day basis.
  • Ensure that the CFO’s schedule is planned, co-ordinated and adhered to on a daily basis.
  • Administer detailed travel plans, itineraries and agendas.
  • Compile documentation for meetings.
  • Provide a gateway role to manage direct access to the CFO’s office and time.
  • Administers and co-ordinate flights, accommodation and car hire bookings for local and overseas travel and reconcile expense claims.
  • Manage diary, internal and external meetings, email correspondence and service meetings chaired by the CFO.
  • Administers the composition and preparation of correspondences per CFO’s request and afford them the confidential treatment they require.
  • Ensure that data and document management for CFO are accurately safe guarded, stored, andmanaged with the level of confidentiality they require.
  • Administer parliamentary correspondence including referencing and cabinet memos.
  • Execute level liaison at Ministerial, Commissioner, Chief Officer and Group Executive level.
  • Ensure smooth external liaison and coordination with other government departments and third parties.

Finance

  • Adhere to specified polices, standards and procedures to prevent wastage on resources and report violations.
  • Provide input into the budgeting process and liaise with Finance regarding accounting for variances
